Privacy policy
This policy explains what personal information this website collects, why, and what you can do about it. It covers the website itself. If you go on to work with us as a client or register with us as a candidate, we will give you further information about how your records are handled at that point.
What we collect through this website
The only information you give us directly is what you type into an enquiry form. Every form on this site collects the same core details:
- Your name
- Your email address
- Your phone number
- Your message
- Whether you are looking for staff or looking for work
The form on our Work With Us page also asks the kind of role you are looking for and your general availability. We record which page you sent the enquiry from, and the date and time you sent it, so that we can route it to the right person and respond in context.
We do not ask for anything else through this website. In particular, please do not send professional registration numbers, DBS certificates, right-to-work documents, CVs or any health information through an enquiry form. If we need those to place you, we will ask for them separately and explain how they are handled first.
Why we use it, and on what basis
We use what you send us to answer your enquiry and, if it goes further, to discuss staffing or work with you. Where you have contacted us about a service, our lawful basis is our legitimate interest in responding to someone who has asked us to get in touch, and in the run-up to a possible contract, taking steps at your request before entering into one.
For analytics, our basis is your consent, which you give or refuse through the cookie banner and can withdraw at any time.
Website analytics
We use Google Analytics to count visits and see which pages are read. It is switched off until you accept it, and it is not used to identify individuals. We have not enabled advertising features or cross-site tracking. Google processes this on our behalf and may do so outside the UK.

Who sees your information
Enquiries are sent to our own staff by email and a copy is kept on our website’s server so that nothing is lost if an email fails to arrive. We do not sell your information, and we do not share it with anyone for their own marketing.
If your enquiry leads to us putting you forward for work, or to us supplying staff to you, we will tell you who your information needs to be shared with before we share it.
How long we keep it
We keep enquiries for no longer than we need them for the purpose you sent them for. If you ask us to delete your enquiry, we will do so, and we will confirm when it is done.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on your consent, you can withdraw it at any time, and doing so does not affect anything we did before you withdrew it.
To exercise any of these, email compliance@heartbeat-care.com. We will respond within one month. There is no charge.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we have the chance to put it right. You also have the right to complain to the Information Commissioner’s Office at any time, at ico.org.uk, or by calling their helpline on 0303 123 1113.
Changes to this policy
If we change how this website uses your information, we will update this page before the change takes effect.
